Cancellation and Refund Policy

This Cancellation and Refund Policy applies to registrations and accommodation bookings made through CancerConferenceIndia.com, owned and operated by Global Web Technologies LLP on behalf of the authorised conference organisers.
By completing a registration or accommodation payment, the participant agrees to this policy.
1. Conference Registration Cancellation
A registered participant may request cancellation of their conference registration by sending a written request to:

The applicable refund will be calculated according to the date on which the written cancellation request is received.

The conference start date will be used to calculate the applicable cancellation period.
2. Accommodation Cancellation
All accommodation bookings and accommodation-related payments are non-refundable.
No refund will be issued for:
cancellation of accommodation;
reduction in the number of nights;
late arrival;
early departure;
failure to check in;
unused rooms or facilities; or
changes in travel plans.
Participants should confirm their travel and accommodation requirements carefully before making payment.
3. Payment Gateway and Other Charges
Any payment-gateway charges, bank charges, taxes or administrative charges that have already been incurred may be deducted from the refundable amount, where applicable and permitted by law.
The final refund amount may therefore be lower than the original amount paid.
4. How to Request a Registration Refund
The cancellation request must be sent from the participant’s registered email address and should include:
participant’s full name;
registered email address;
registration number;
payment or transaction reference number;
amount paid;
reason for cancellation; and
bank or payment details where required for processing the refund.
Incomplete requests may take longer to process.
5. Refund Processing
Approved refunds will ordinarily be returned through the original payment method.
Where a refund cannot be processed through the original method, the participant may be asked to provide verified bank-account details.
Refund processing may take approximately 10 to 15 working days after approval. Additional time may be required by the bank or payment gateway.
Submission of a cancellation request does not itself guarantee a refund. Eligibility will be determined according to this policy and the date on which the request is received.
6. Non-Refundable Situations
No refund will be issued where:
the cancellation request is received less than 60 days before the conference;
the participant does not attend the conference;
the participant arrives late or leaves early;
a visa, travel ticket or institutional approval is denied or delayed;
an abstract is rejected, withdrawn or not presented;
the participant is unable to attend because of personal, professional, medical or travel reasons;
incorrect information was submitted during registration;
the registration is cancelled because of a breach of conference rules; or
the payment relates to accommodation.
7. Transfer of Registration
A request to transfer a registration to another eligible participant may be considered at the sole discretion of the conference organisers.
Any transfer request must be submitted in writing before the conference and may require:
approval by the organisers;
completion of the replacement participant’s profile;
payment of any applicable fee difference; and
submission of supporting documents.
Registration transfers are not automatic.
8. Conference Cancellation or Major Change
If the entire conference is cancelled by the organisers, participants will be informed about the refund or alternative arrangement applicable to the registration fee.
The organisers will not ordinarily be responsible for refunding:
travel or airfare expenses;
visa expenses;
hotel expenses booked independently;
insurance expenses;
loss of income; or
other incidental or consequential expenses.
If the conference is postponed, rescheduled, relocated, conducted virtually or converted to a hybrid format, the organisers may transfer the registration to the revised event instead of issuing an immediate refund, subject to applicable law and the circumstances of the change.
9. Force Majeure
The organisers and website operator will not be liable for delay, postponement, modification or cancellation caused by circumstances beyond their reasonable control, including:
natural disasters;
epidemic or pandemic restrictions;
war, terrorism or civil disturbance;
government orders;
transport disruption;
venue unavailability;
strikes;
internet or technology failures; or
other force-majeure events.
Any refund or credit offered in such circumstances will be determined by the organisers after considering committed expenditure and applicable legal requirements.
10. Disputed or Duplicate Payments
Participants who believe that they have:
been charged more than once;
paid an incorrect amount; or
completed a payment that is not reflected in their account
should contact the support team with the transaction details.
Verified duplicate payments will be refunded after reconciliation with the payment gateway or bank.
